How to Choose the Right Tools for Your Business 

Before we jump into the list, here’s a quick framework for assessing whether a tool is worth investing in. Ask yourself these two questions:

  • Does it save me time? 
  • Does it make me money? 

Ideally, these tools do both! 

Additionally, consider how often you’ll use it. Some tools (like scheduling software) might be essential daily, while others (like launch-specific tools) may only be useful a few times a year. Choose software and subscription plans that align with your unique business needs.

1. Scheduling Made Easy 

The back-and-forth emailing to lock in an appointment? A total time-waster. Scheduling software eliminates this headache by allowing clients to book directly into your calendar. Plus, it’s a seamless experience for your clients—a win-win. 

Top Picks: 

  • Calendly: Simple, streamlined, and customizable to fit your schedule preferences. 
  • Acuity Scheduling: Syncs well with many CRMs and offers advanced features like intake forms for client details. This is my platform of choice!
  • Many CRMs and EHRs (covered next) offer integrated schedulers – so if you want to combine these two into one subscription, you totally can. Pick the one you like working with best!

2. Client CRM (Customer Relationship Management) 

A centralized client management system is a must. Not only does it help you stay organized, but it also creates a smoother onboarding experience for your clients. Look for CRMs that integrate scheduling, billing, and intake forms to keep everything in one place. 

For our health and wellness folks, including dietitians like me, but also therapists, nurses, lactation consultants, health coaches, and more, you might be more familiar with this kind of software in terms of charting or an “electronic medical record”, or an EMR for short. No matter what you call it, you will want software that helps you to efficiently record and manage all of your audience, from a prospective client, to a client, to a raving client who has graduated from your services.

  • Practice Better: Perfect for health and wellness professionals; it even includes meal plans, course capabilities, and Telehealth services. 
  • Healthie: Another great EHR (Electronic Health Record) platform for health practitioners. 
  • Simple Practice: All-in-one practice management tool for behavioral health practitioners.
  • Dubsado: A robust option for broader business needs, complete with workflows and contract management. This is what I’ve used for years!

3. Accounting Tools for Financial Clarity 

Stop dreading tax season or looking at your numbers in your business. Accounting tools not only simplify bookkeeping but also help you make informed financial decisions based on clear data. 

Top Pick: 

  • QuickBooks Online: A trusted name in accounting, great for tracking income and expenses, and creating financial forecasts. I know there are other tools out there too, but QBO has served me well for nearly 7 years!

Pro Tip: Integrate tools like QuickBooks with other software (like payment processors) to save even more time reconciling records. 

4. Automation Tools for Seamless Workflows 

Ever wish your tools could just talk to each other? Enter automation software. Whether it’s syncing payment transactions to your accounting software or importing client data from forms, automation tools have got you covered.

  • Zapier: Connects over 5,000 apps to work together seamlessly—no coding required. We use this every single day in our business, and we’re always finding new things to automate!

5. Email Marketing Platform

Did you know that you can’t just email a potential client like you can email a friend or a co-worker? As an entrepreneur, you have to use an email software system that allows people to join (and also unsubscribe) from your list. 

Emailing programs allow you to schedule emails and newsletters in advance, establish marketing funnels, and have landing pages to welcome new folks to your community.

Batch-prep your content and schedule posts in advance to keep your feed active without having to post manually every day. No one has time for that!

  • Later: A user-friendly tool perfect for visual platforms like Instagram and Facebook.
  • Publr: A light-weight and affordable social scheduling tool. (What we use, though I’ve also been happy with Later in the past!).
  • Canva (Paid Version): Create stunning graphics for social posts, then publish directly to your social channels. We use Canva every day!

7. Time Tracking Software 

How long do your client sessions actually take? How much time are you spending on administrative tasks? A time tracking tool sheds light on these questions, helping you price services better and optimize your schedule. 

Top Pick: 

  • Toggl: Easy to use and perfect for tracking billable hours or simply understanding where your time goes. 
  • Clockify: I have all of my team members in Clockify too, and we can track hours by project and see where we’re spending our time each month.

8. Professional Email 

If you’re still using a free email address (@gmail, @outlook, @yahoo, etc.), now’s the time to upgrade. A professional email address using your domain (i.e. name@wihtneybateson.com) not only boosts credibility but also keeps all your client communication in one place.

Looking to expand your income beyond 1-on-1 sessions? Creating an online course is the perfect way to scale your expertise while keeping your impact broad.

  • Teachable: Perfect for beginners, with user-friendly tools to create and sell courses. 
  • Kajabi: A premium all-in-one platform that also includes email marketing and community spaces. This is what we currently use – it’s a bit on the higher-cost side, but it has the features we needed. And that’s another piece of advice for all of these tools – make sure you take time to come up with your needs, then assess which software is the best fit. What works for one person may not work for you. Luckily, there are many options available!

10. Community Platforms 

For group programs or memberships, having a dedicated space for your clients to connect can elevate their experience. This is where community platforms shine. 

Top Picks: 

  • Circle: A beautiful, streamlined platform for creating community spaces. 
  • Skool: Simple and effective for fostering interaction among your group members.
  • Kajabi (mentioned above) also has the ability to host communities!
